This explains what we do with your information when you enquire with Memory Filming, and what you can ask us to do about it. We have tried to write it in plain English rather than legal boilerplate.
Who we are
Memory Filming is a wedding photography and videography studio based at The Mille, 1000 Great West Road, Brentford TW8 9DW. We are the data controller for the information described here. You can reach us at [email protected] or on 07446 580004.
What we collect, and why
When you use the enquiry form we collect your name and your partner's name, your email address, your phone number if you give it, your wedding date, the ceremony and venue, and whatever you tell us about your day. We ask for these so we can check we are free on your date and put together an accurate quote, nothing on the form is collected for marketing.
If you become a client we also hold the photographs and film we take for you, along with the contract and payment records.
Our lawful basis is legitimate interest for responding to your enquiry, and contract for work we carry out once you book.
How long we keep it
Enquiries that do not become bookings are deleted after two years. Client records are kept for seven years, because HMRC requires business records to be retained that long.
We keep the photographs and films we produce indefinitely unless you ask us to delete them, because couples frequently come back years later for another copy. You can ask us to delete them at any time.
Who else sees it
Our website and database are hosted by Railway, and our images are stored with Cloudflare. Both act as processors on our behalf and do not use your information for their own purposes.
Our email runs on Microsoft 365. We do not sell your information, and we do not pass it to other suppliers unless you have asked us to introduce you to one.
Photographs of you
We sometimes want to show work publicly, on this website, in the portfolio, or on social media. We ask permission before publishing images of your wedding, and if you would rather we did not, that is completely fine and does not affect anything else.
If we have published something you would like taken down, email us and we will remove it.
Your rights
You can ask us for a copy of what we hold about you, ask us to correct it, ask us to delete it, or object to how we are using it. Email [email protected] and we will respond within one month.
If you are unhappy with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
